PayPal FIRA and EDF preparation: keep the evidence connected

Use PayPal’s official FIRA help and link remittance evidence to your invoice schedule without confusing the documents.

PayPal’s India help describes digital FIRA access through a business account. This is useful remittance evidence, but your export working file still needs to explain which invoice or customer transaction the evidence relates to. Keep the document’s real title rather than renaming it as an EDF acknowledgement.

Use the official account report route

PayPal’s help currently points users to its reporting area for FIRA downloads. Follow the current instructions inside your own account, since menus and document availability can change. Save the original report and note its covered period. If an older document is unavailable, use official support rather than sending account credentials to a third-party certificate service.

Map the report to the underlying invoices

Create a small index connecting invoice numbers, transaction identifiers, deductions and the related settlement or FIRA reference. Where one report covers several payments, keep those payments individually identifiable. Ask the bank what additional evidence it needs for your route. A provider document can support tracing a receipt while leaving separate declaration and acceptance questions unresolved.

Check the report period before matching payments

A report covering several transactions needs a period-based review. Record the start and end dates shown by the document and list the transactions you expect it to cover. Compare identifiers as well as amounts. A payment appearing in the next reporting period may reflect the provider’s processing cycle rather than a missing export, but confirm the explanation through the actual account records.

Use PayPal’s current official help for the account’s available FIRA route. Do not rely on a menu path copied from an old tutorial if your account differs. Preserve the original PDF and document title. If an older report is unavailable, ask official support about the appropriate route instead of purchasing a document from an unauthorised service.

Reconcile the account statement with the remittance advice

The earning or transaction report and the remittance advice may not present information at the same level. Create an index linking invoice reference, customer transaction, payout identifier and the advice covering the receipt. Keep charges, refunds and currency conversion evidence alongside that index. Do not expect one certificate to replace all the commercial and settlement records.

Review whether an amount is gross, net or a batch total before allocating it. A fee shown in a customer transaction report may already be reflected in the payout summary. Compare one transaction across the reports to understand their relationship. Where the documents leave a gap, write a precise support question using the relevant references and keep the answer with the evidence.

Use the evidence in a focused bank submission

Explain what the PayPal document establishes and what other record supports the invoice. Ask the AD how to connect the provider route to its required receipt-matching process. If the bank requests another document, confirm which issuer should provide it and why, rather than relabelling the FIRA as a different certificate to make the attachment list look complete.

Keep the actual declaration or application acknowledgement separate from the provider evidence. Downloading a document is a useful evidence step, not proof that an official export record has been accepted or closed. If the bank responds with a partial match or an additional-information request, record that status accurately against the invoice references involved.

A fictional example

A studio downloads a report covering several customer transactions. Its working index shows which two invoices belong to that report and which transaction was a refund. The team preserves the original report and adds the explanation as a separate schedule.

  1. A fictional studio expects evidence for two customer payments. It checks the report period and discovers a refund entry linked to an earlier sale. The working index records that refund separately, so it cannot be mistaken for a fee on either of the current invoices.

  2. The preparer connects the customer transaction identifiers to the payout and FIRA document. They check which amounts are already net of charges and preserve the original reports. One unclear settlement reference becomes a targeted support question rather than a guessed invoice allocation.

  3. The studio sends the bank a readable evidence index through the confirmed channel. Its official declaration acknowledgement remains a separate record. Any pending matching question stays open even though the FIRA has been downloaded successfully.
